Moving an email list isn’t simply a matter of exporting a CSV and importing it somewhere else. You’re moving consent records, unsubscribe information, segments and the history that helps you communicate appropriately.
Plan the migration before ending your existing subscription.
Export more than the email address
Where available, retain:
- First and last name
- Email address
- Subscription status
- Date and source of consent
- Tags, groups or interests
- Relevant custom fields
- Unsubscribes and suppressions
- Engagement information you genuinely need
You may need separate exports for active contacts, unsubscribed contacts and bounced addresses. Don’t re-add somebody who has already opted out.
Clean the list
Remove obvious duplicates and addresses you know are invalid. Standardise fields such as country, service interest or membership status.
Don’t use migration as an excuse to email old contacts who didn’t agree to receive marketing. UK GDPR and electronic marketing rules still apply after a platform change. Seek appropriate advice if the status of older contacts is unclear.
Recreate the useful structure
Avoid importing dozens of confusing tags just because they exist. Decide which information affects future communication.
A simple structure might identify source, lead magnet, customer status and current interest. Document what each tag means so the system remains usable as the list grows.
Prepare the sending setup
Authenticate your sending domain using the records required by the new provider. Set your sender name, reply address and business details. Confirm how unsubscribes are handled.
New sending systems may need a gradual warm-up, especially for larger or less engaged lists. Begin with people who have recently opened, clicked, replied or purchased rather than sending to everybody at once. You can explore RMM pricing to see email and system allowances.
Test before switching off the old platform
Import a small sample first. Send a test campaign and confirm that personalisation, links, tracking and unsubscribe options work.
Check your most important automations. A welcome sequence, purchase confirmation or appointment follow-up can be more commercially important than the next newsletter.
Rachna Stear moved her mailing list to RMM while creating a new website and four funnels within a few weeks. Kelly-anne Riley Smith reported cancelling ActiveCampaign after moving to RMM. Their experiences show that migration can be part of a wider simplification, but it should still be handled carefully.
